A digital fire alarm logbook for weekly tests and service visits
Ready-made BS 5839-1 templates for the weekly user test, the monthly checks and the periodic inspection and service. Schedule them, complete them on a phone and keep every result in one place.
Templates that match BS 5839-1
Start from a template, choose the sites and the schedule, and G8 ONE shows each check when it is due.
Weekly fire alarm test (user check)
- Call point tested, with its ID or location – a different one each week, in rotation
- Alarm sounded and was heard; panel received the signal
- Signal to the alarm receiving centre confirmed, if monitored
- Panel reset and showing normal, time of test, faults found
- Recorded in the logbook and signed by the responsible or nominated person
Monthly user check
Standby generator, panel showing normal with no disablements left in place, printer paper and other checks your fire risk assessment or maintenance contract asks for.

Service visits by the competent person
The periodic inspection and servicing template repeats every 6 months. Its note explains that BS 5839-1 asks for servicing at intervals not exceeding 6 months, and that the 2025 edition allows each visit within a window of 5 to 7 months after the previous one.
Logbook review
Faults and false alarms since the last visit actioned.
Panel and power
Indicators, controls, PSU and batteries checked.
Devices tested
Zones or addresses tested this visit.
Sounders and VADs
Sounders, visual alarm devices and voice alarm audible and intelligible.
Cause and effect
Interfaces to other systems tested (BS 7273, for example door holders, dampers and suppression).
ARC link
Link to the fire service or alarm receiving centre tested, with result, defects, photo and engineer signature.
The rest of the job in the same place
Fire alarm work on a live building usually needs more than a logbook. The same account holds the fire alarm isolation permit, the RAMS for the upgrade, and BS 5839-1 design, installation, commissioning and acceptance certificates for the handover. See G8 ONE for fire and security installers.
Intervals follow current British Standards. Confirm them against your fire risk assessment and the system's maintenance contract.
Questions
Is a digital fire alarm logbook allowed?
BS 5839-1 allows the logbook to be kept in paper or electronic form, provided the right people can access it. G8 ONE records each test with the date, time, call point, result and who did it, and exports it as a PDF.
Does it rotate call points?
The weekly template asks for the call point ID or location and reminds the tester to use a different one each week, in rotation.
Can the engineer sign the service visit?
Yes. The service template ends with the result, defects, a photo and the engineer's signature.
Can I change the template?
Yes. Every template is a starting point you can edit, schedule and assign to sites.
