### How does the free trial work?

You get 30 days with everything included and no limits on users, projects or operatives, so your whole team can use it on real jobs. No card needed. 30-day free trial, then choose a plan. We’ll remind you before it ends. Choose a plan at any time and everything you’ve set up carries over. If you don’t choose one, your account turns read-only until you do: nothing is deleted, and you can still view and export everything. During the trial and afterwards you can export everything free in one download: RAMS and documents as PDFs with your branding, registers, sign-ins and timesheets as spreadsheets that open in Excel, permits, toolbox talk records with signatures, and photos. Your data is yours, and you’re welcome back any time.

### Do my operatives need to download an app?

No. They scan a QR code or tap a text link and it opens in their phone's browser. Sign-in, induction, RAMS sign-off and incident reports all work that way.

### Will a main contractor accept G8 ONE documents?

G8 ONE produces professional PDFs and Site Packs with your branding. What each main contractor accepts is up to them, and you can edit every RAMS to match their requirements before you send it.

### Is the content written by safety professionals?

The built-in library gives you a strong starting point, with hazards and controls for common UK trades. You stay responsible for checking every RAMS fits the job, and G8 ONE makes that faster.

### Can I put my own logo on everything?

Yes, from the Business plan up: your logo and colours on the app, PDFs and Site Pack cover. Your own web address is included on Enterprise or available as a £75/month add-on.

### How does COSHH work?

Type the product name and G8 ONE finds the UK safety data sheet and drafts the assessment using the HSE COSHH Essentials method. Got lots of sheets already? Upload them in one go and you get a draft assessment for each one to check and approve. Every night G8 ONE checks each supplier’s published sheet (where we have a link to it, from the shared library or one you add) and flags a newer revision in your register for review and re-signing. Anything it can’t check is shown as not checked – never guessed.

### Can I share documents without giving people a login?

Yes. Share a Site Pack, a site’s COSHH file or a set of company documents as a read-only link. It always shows the latest approved versions, can expire, and you can revoke it at any time. Each COSHH product can also have a printable QR label.

### How does team access work?

Invite people by email and give each a role: admin, manager or operative. Plans include a set number of office users (owners, admins and managers), and an owner or admin can add extra users at £9 per user per month in the app. During the free trial there’s no limit. Operatives who only sign in, sign off and report never need a paid seat.

### Where is my data stored?

Your data is stored in the EU (Ireland), which the UK recognises as adequate under its adequacy regulations. It’s encrypted in transit and at rest, each company’s data is kept separate, and two-factor authentication is available. See our Security and Sub-processors pages.

### Can I bring my data from my old system?

Yes. On every plan you can import staff, training records with expiry dates and sites from a spreadsheet or your old system’s export. Columns are matched for you and problems like missing fields, bad dates and duplicates are flagged before anything is imported. You can also drop in a folder of certificates and policies and confirm where each one goes. On Business and Enterprise, we’ll load your exports for you at no extra cost.

### How does the AI work?

AI is used to suggest hazards, read asbestos surveys and scan site photos or video. Every result is labelled as a suggestion, and nothing is saved until you tick it. A competent person must always review RAMS, COSHH and registers before they are issued. Every plan includes monthly AI credits (Solo 300, Team 1,000, Business 3,000, Enterprise 10,000, Ultimate 30,000; one credit is one AI request), reset on the 1st. If you run out, top up from £5 for 100 credits, or AI pauses until the 1st. If a request fails, the credit is given back.

### Can I cancel?

Yes. The free trial needs no card, so there’s nothing to cancel and nothing to pay. Monthly plans can be cancelled at any time and run to the end of the paid month. Annual plans get two months free and can be refunded in full within 14 days of the first annual payment. See our Terms.
